  This Privacy Policy is for organisational representatives who engage with us or contract our services, and for individuals who participate in events and programmes that we deliver to help you attain the clarity, motivation and mindset to achieve the personal and business goals you set.  

We will only use personal data that we collect in line with applicable UK laws, including the UK General Data Protection Regulation (GDPR), the Data Protection Act (DPA) 2018 and the UK Privacy and Electronic Communications Regs (PECR) in respect of marketing to you. We are committed to protecting your privacy and handling your information in the right way.  

Your trust matters to us because we want to provide a safe, confidential space to allow you to explore challenges and issues and apply your learning experience to your work environment. We only ask for, or collect your personal information, to help us run and improve our services and to deliver the programmes that you contract us for or sign up to participate in. If you sign up to receive our newsletter you can unsubscribe from this at any time. 

  • We make sure your personal information is always secure and protected. 
  • We are fair, clear and honest about how we use the personal information we hold about you. If you ever feel unsure about how we use your personal data, please always ask us to explain.

We want to explain and make sure you understand: 

  • what personal information we collect about you,   
  • how we may use it lawfully,  
  • the purpose(s) that we use it for, 
  • who we may share it with, essentially our learning partner and suppliers,  
  • how long we will keep it for and  
  • your rights in respect of us getting this right and how you can contact us if you feel we haven’t done so. 

What personal data do we collect about you as an organisation who contracts our services? 

Personal data is information that is capable of identifying you, directly or indirectly, as an individual – on its own or in combination with other information. Dependent on how you have contacted us we may collect some or all of the following information about you: 

  1. Identity information -your name 
  1. Your job role 
  1. Business or organisation contact address(es) 
  1. Business telephone number(s) 
  1. Business email address(es) 
  1. Records of your communications with us 
  1. Marketing and Communication data e.g. whether you have opened an email from us, or your expressed contact preferences 
  1. Limited financial details when you make a payment to us 

What personal data do we collect about you as participant in a programme? 

  1. Identity information – your name 
  1. Your job role 
  1. Your organisation  
  1. Business contact address(es) 
  1. Business telephone number(s) 
  1. Business email address(es) 
  1. Occasionally, we may collect limited health information e.g. dietary requirements or accessibility needs to attend an in-person event 
  1. In addition, where we are engaged in accreditation processes, we may see examples of your work which although not personal data, does relate to you  

What other data do we collect and share when you visit our website? 

When you use our website, we may use tools like Google Analytics to collect information such as your IP address, the browser you use (e.g., Google Chrome, Microsoft Edge etc.), domain names, the time of day you accessed the website and referring website addresses. This information helps improve our online services, ensures security and helps protect against fraud. It also assists with diagnosing online problems with our website. 

We also use cookies and other tracking technologies throughout the website, these give us more understanding of how people use our website. These technologies may share data with their own organisations like Google – please see our cookie notice for more details of what cookies we use and how you can reject them from being dropped to your devices.  

How do we use the data we collect about you? 

We use your business and personal data for a number of purposes captured here and include the following: 

  • To provide requested services to your organisation 
  • To deliver events that you or your staff may participate in 
  • To keep a record of payments to us, actions you take, and our communications with you 
  • To send you marketing information about our courses, programmes and services  
  • To respond to an enquiry from you 
  • To ensure we do not send unwanted information if you have informed us that you do not want to be contacted 
  • To comply with applicable law and regulations 

We’re allowed to process your data for one or more of these lawful reasons: 

  • We have a contract with your organisation to deliver events, programmes and services 
  • Where we do hold limited health information about you to enable participation in an event, we will only do so with your explicit consent 
  • We may send organisations marketing where the content is relevant to that organisation – although your consent is not required we will always give you the option to opt-out of receiving marketing messages from us 
  • We have a legitimate interest to do so e.g. our use of analytics to understand how our clients engage with us. We always balance our use of this lawful basis against the rights of our clients. 

Who do we share information with? 

Programme and event participation: 

  • Where events are run in person, we may share limited information about you with a venue to maintain both your safety and security in the building environment, and that of other building users if it is a shared workspace 
  • Where events and programmes are delivered online, we use Zoom as a delivery platform. Their privacy policy is here. We do not record these events. 
  • During live events we use Kahoot!  and Mentimeter to conduct quizzes, make sessions more interactive and request feedback on our delivery and performance 
  • During programme participation, we may create communities to encourage dialogue and group engagement. We use WhatsApp and Slack to form these communities, but your participation is purely voluntary. 

Payment Processing 

We partner with two organisations to enable the safe and secure processing of payments to us: 

  • We utilise Tide as our main platform for processing invoices and payments. Tide is not a bank but is regulated by the Financial Conduct Authority. They do provide business bank accounts via Clearbank Ltd (also FCA regulated). Tide’s Privacy Notice is here 
  • We also use STRIPE to process payments if you make a payment for a product or programme place online.  
  • STRIPE are a US based global provider of transactional finance services but which have UK representation.  
  • STRIPE are signatories to the EU-US Data Privacy Framework and under the UK Data Protection (Adequacy) (USA) Reg 2003 (known as the UK-US ‘data bridge’) are deemed to meet the required standards to maintain the privacy of citizens when data is transferred to, and processed by them on behalf of UK based organisations. 
  • STRIPE are certified to the highest level of Payment Card Industry (PCI) standards to keep your information safe and secure.

Marketing 

Like many organisations we use a 3rd party platform to send marketing communications to you. These platforms help us make sure we are compliant with UK PECR requirements and enable you to unsubscribe whenever you want to.  

We use Mailerlite as our marketing platform. Mailerlite are an EU based company (Dublin) and store your data in the EU and are accredited to the highest of security standards (ISO27001). Their privacy notice is here 

Our website and database content management system is built on a WordPress platform. When you sign up for our newsletter your contact details will be stored in WordPress. Their privacy notice is here  

These organisations may sometimes use your data for their own purposes such as analytics, fraud prevention, improving their services through the use of AI and machine learning models, and compliance with local legal and regulatory requirements.  

In all these instances we ensure that there are appropriate and lawful mechanisms supporting the transfer of data to these organisations.  

Programme Psychometric and Accreditation tools 

When you participate in one of our programmes there are two main tools that we use DiSC and Belbin. You interact directly with the platforms, and we do not see your individual responses. We do see a summary of observer comments (and who made these) where the model used invited your selected observers to give feedback about you. We also have access to and review the reports generated by these platforms which are also shared with you direct as part of your programme participation. 

The DiSC assessment tool is accessed through a platform operated by PeopleKeys. PeopleKeys are a US based organisation and are signatories to the EU-US Data Privacy Framework and under the UK Data Protection (Adequacy) (USA) Reg 2003 (known as the UK-US ‘data bridge’) are deemed to meet the required standards to maintain the privacy of citizens when data is transferred to and processed by them on behalf of UK based organisations. Where we operate in accreditation review and assessments, we are engaged via EMCC – a global provider of accreditation services. We do not process your personal data for our own purposes. Your data is held securely by EMCC and we access your assessment portfolio via their platform. 

How long do we keep your information for? 

  • Your marketing preferences  

You may change your marketing preferences at any time by unsubscribing via the link at the bottom of our newsletter. We will retain your preference within our marketing platform to ensure that we do not continue to send you unwanted marketing emails. 

  • Financial Records 

Financial transaction records are created and maintained within the platforms that we use. Audit best practice requires a minimum retention period of seven years.  

  • Psychometric profiling and accreditation platform data retention 
  • PeopleKeys store your assessment and details for as long as you remain registered on their platform. 
  • Belbin store your details captured during the assessment process for up to three years on their secure servers in the UK 

 

Your rights regarding your personal information 

You have a number of rights under UK data protection law. These are listed below, along with our contact details, should you wish to make a request. 

  • Informed: You have the right to be informed about how we handle your personal data.  This privacy statement is one of the ways we do this. 
  • Access: You have the right to ask for a copy of the personal data we hold about you and the purposes for which we are using it. ‘Personal data’ is any information which can directly, or indirectly, identify you. 
  • Rectification: You have the right to ask us to change any details that we hold which are incorrect, inaccurate or need updating. 
  • Erasure (known as the ‘right to be forgotten’): You have the right to ask us to delete your personal details under certain circumstances. We will assess any deletion request on a case by case basis. If you subscribe to our email list, we can quickly fulfil your request, but in other circumstances there may be reasons why we need to keep information about you.  
  • Object: You have the absolute right to object to receiving direct marketing from us.  You also have the right to raise an objection about how we are handling your personal information. 
  • Restriction: You have the right to ask us to restrict or suppress your personal information. This would mean we’d store it but not use it. 
  • Portability: You have the right to obtain and reuse your personal data for your own purposes across different services.  Due to the nature of our organisation and the limited nature of the personal data we handle, we do not believe this right is likely to apply. 

You also have the right to make a complaint if you believe we have not handled your information appropriately. We would prefer that you contact us in the first instance so we can discuss your concerns and put things right, but you also have the right to escalate your concerns at any time to the UK Regulator (The Information Commissioner’s Office) by contacting them here

How to update your marketing consent 

We make it easy for you to tell us if you would like to receive marketing communications from us and we will not send you marketing materials if you tell us that you do not wish to receive it. The easiest way to reject marketing  emails is to simply hit the ‘unsubscribe’ link at the bottom of any marketing materials received or you can simply email donna@learningpartnersolutions.com and we’ll do it for you. 

Our promise to you 

We will only use your information for the purposes for which it was obtained. We will not, under any circumstances, share or sell your personal data with any third party for their own marketing purposes. 

How we keep your data safe 

We ensure there are appropriate technical and organisational controls in place to protect your personal details both within our organisation and with the suppliers we use to process your information during programme participation.
